JOB DESCRIPTION TITLE: Assistant Property Manager
Location:On-Site
Reports to: Property Manager
Education:
College degree [a plus]
Knowledge, Abilities, and Other Qualities:
MUST have at least 2 years experience in property management.
Experienced Administrative Assistant
Experience with MS-Office (Expert level knowledge of MSWord, Excel, Outlook)
Leasing agent experience
Experience with property management software (a plus)
Experience in Real Estate
Ability to perform accounting functions (Accounts Payable/Receivable)
Excellent telephone/customer service skills
Ability to work in a high-paced work environment
Ability to work on several projects at once while continuing to perform day-to-day activities
Accounting and administrative background (a plus)
Pay Considerations:
Salary will depend on experience and what duties are assigned.
Scope and Purpose:
To work with Property Manager in the general administration of the property and perform all related secretarial and accounting functions. The degree of responsibility and the number of duties will depend upon the building and the Property Manager to which the employee is assigned. While the following information should be considered a comprehensive description of this position, it should also be noted that some responsibilities and duties may not be specifically addressed. JOB DESCRIPTION:
- Maintain courteous communication with the tenants, ownership, vendors and representatives of other companies.
- Answer all incoming phone calls and handle accordingly whether prospect call, irate Tenant, service requests, etc.
- Order supplies within established budgeted guidelines, following purchase order procedures.
- Assemble and review accuracy of monthly reports to Ownership.
- Set up monthly reports in Property Solutions – Access to Owners.
- Email payment reminders to Tenants on 1st of the Month.
- On 5th of month work with Senior Property Manageron default notices for mailing.
- Leasing up vacant apartments.
- Respond timely to service repairs, setting up repairs and follow up with repair with Vendor and Tenant.
- Contact Tenants on monthly sales report.
- Run rent roll reports and compare to Leases for review purposes.
- Assist in the assembly of the Budgets.
- Prepare meeting agendas for Property Manager.
- Maintain general office and vendor files.
- Type letters, memos and leases.
- Send out letters via FedEx and certified mail
- Additional tasks of similar nature may also be required.
Duties and Responsibilities:
- Maintain accurate Tenant records.
- Assist in collection of rents and email follow ups.
- Accept service requests from Tenants and route to Vendormaintenance for prompt processing and provide service follow-up with resident when job is complete.
- Assist Property Manager, financial reports due to clients on a monthly, quarterly, and annual basis.
- Update daily reports concerning notices to vacate, vacancy reports, activity reports, etc. and provide information to Property Manager. Organize and file all applicable reports, leases and paperwork.
- When requested, obtain bids from different vendors; assist in negotiating service contracts, as directed by the Property Manager.
- Ensure emergency Evacuation Procedures and life safety systems are updated and in effect.
- Monitor and review preventive maintenance programs.
- Tracking seasonal bids for snow removal, landscaping, parking lot sweeping, etc
- Ensure that appropriate insurance requirements are in place for all Tenants and Vendors used at the property.
